Gym Automation Stack: Zapier, Make, and GHL Workflows Explained

Which automation tool should your gym use? Here is when to use Zapier, Make, and native GHL workflows for maximum efficiency.

Automation is the backbone of every gym backend system we install. But the tool you use matters less than how you use it. We work with three primary automation platforms: GoHighLevel native workflows, Zapier, and Make (formerly Integromat). Each has a specific role.

GHL native workflows handle everything inside your CRM. Lead follow up sequences, pipeline stage automations, appointment reminders, retention triggers, and internal task assignment. If the automation starts and ends inside GHL, use native workflows. They are faster, more reliable, and do not cost extra.

Zapier handles connections between GHL and external tools. When a new member signs up in GHL and you need to create them in your billing system, add them to a Slack channel, update a Google Sheet, or trigger a welcome sequence in another platform, Zapier is the bridge. It is the simplest tool for point to point integrations.

Make handles complex multi step workflows that involve conditional logic, data transformation, or multiple branches. When you need to pull data from your booking system, cross reference it with your CRM, calculate a metric, and then trigger different actions based on the result, Make is the right tool. It is more powerful than Zapier but has a steeper learning curve.

The golden rule of gym automation: automate the timing, not the relationship. Every automated message should feel like it could have been sent by a real person. The moment your automation feels robotic, it stops working. We write every sequence in the owner's voice, with their personality, and with specific references that make it feel personal.

Start with GHL native workflows. They cover 80% of what you need. Add Zapier for simple external connections. Only bring in Make when you have a complex workflow that the other two cannot handle.
