GoHighLevel for Gyms: The Only Setup Guide You Need

We have installed GHL for over 50 gyms. Every installation follows the same proven architecture. Here is the exact setup.

First, your pipeline structure. You need three pipelines minimum. Pipeline one is your Sales Pipeline with stages: New Lead, Contacted, Trial Booked, Trial Completed, Offer Presented, Closed Won, Closed Lost. Pipeline two is your Onboarding Pipeline: Welcome Sent, First Visit Completed, Third Visit Completed, Fully Onboarded. Pipeline three is your Retention Pipeline: Active, At Risk (7 day), At Risk (14 day), At Risk (21 day), Cancellation Requested, Save Attempt, Cancelled.

Second, your automation workflows. You need at minimum: Speed to Lead (triggers on new contact, sends text within 60 seconds), Trial Reminder Sequence (24h, 2h, 30min before), No Show Recovery (triggers if trial status is no show, sends rebooking sequence), Post Trial Follow Up (triggers 2 hours after trial, presents offer), Retention Monitor (triggers based on last visit date), and Cancellation Save (triggers on cancellation request tag).

Third, your custom fields. Most gym owners skip this and regret it later. You need: Lead Source (dropdown), Trial Date (date), Trial Status (dropdown: Scheduled, Completed, No Show, Rescheduled), Membership Type (dropdown), Start Date (date), Last Visit Date (date), Visit Frequency (number), Risk Level (dropdown), and Lifetime Value (number).

Fourth, your tags strategy. Tags are how GHL segments and triggers automations. Use a consistent naming convention: source_facebook, source_instagram, source_referral, source_walkin for lead sources. status_trial_booked, status_trial_completed, status_member, status_cancelled for lifecycle. risk_low, risk_medium, risk_high for retention.

Fifth, your reporting dashboard. Set up a custom dashboard that shows: New leads this week, Speed to lead average, Trial show rate, Close rate, New members this month, At risk members, Cancellation requests, and Revenue per member. These are the only numbers that matter for daily operations.
